Private Contacts
Your personal contact vault — contacts that belong to you, follow you between jobs, and stay private unless you choose to share them.
Private Contacts#
Your private contacts are the foundation of your professional network in Nanabase. They belong to you, not your employer, and follow you throughout your career.
What Are Private Contacts?#
Private contacts are professional relationships stored in your personal vault:
- Owned by you — They're your career asset
- Always accessible — Regardless of company membership
- Completely private — Only you can see them
- Portable — They follow you when you change jobs
- Shareable — You can share them with your company anytime
Adding Private Contacts#
Add Manually#
- Click + Add Contact in the top navigation
- Fill in the contact details:
- Name (required) — First and last name
- Email — Their email address
- Phone — Phone number
- Company — Where they work
- Job Title — Their role
- Notes — Any context you want to remember
- Tags — Keywords for easy searching
- Under Visibility, select Private
- Click Save
Quick Add#
For faster entry, use Quick Add:
- Press
Cmd+K(Mac) orCtrl+K(Windows) to open Quick Add - Type the contact's name
- Add optional details inline
- Press Enter to save
Import Contacts#
Import contacts in bulk from a CSV file:
- Go to My Contacts
- Click Import
- Upload your CSV file
- Map columns to fields
- Choose Import as Private
- Complete the import
Managing Private Contacts#
Viewing Your Contacts#
Go to My Contacts to see all your private contacts. From here you can:
- Search by name, email, company, or tags
- Filter by tags
- Sort by name, company, or date added
- Switch between list and card views
Editing Contacts#
- Click on a contact to open their details
- Click Edit
- Make your changes
- Click Save
Deleting Contacts#
- Open the contact details
- Click the ⋮ menu
- Select Delete
- Confirm deletion
Deleting a private contact is permanent. If you've shared this contact with your company, the company copy will remain in the directory.
Organizing Contacts#
Tags#
Tags help you organize and find contacts:
Examples:
• "investor" — People who might fund your projects
• "mentor" — People you learn from
• "conference-2024" — People met at a specific event
• "freelancer" — Independent contractors you work with
Adding tags:
- Edit the contact
- In the Tags field, type a tag name
- Press Enter to add
- Add multiple tags as needed
Filtering by tags:
- Go to My Contacts
- Click the Tags filter
- Select one or more tags
- View filtered results
Notes#
Use the Notes field to capture context:
- How you met this person
- Projects you've worked on together
- Important things to remember
- Follow-up items
Good notes transform a name into actionable intelligence.
Sharing Private Contacts#
You can share any private contact with your company while keeping the original:
- Open the contact
- Click Share with Company
- Optionally add context for colleagues
- Confirm sharing
What happens:
- A copy is created in the company directory
- Your private contact remains unchanged
- Colleagues can now find this contact
- You're credited as the person who shared it
Privacy & Security#
Who Can See My Private Contacts?#
Only you. Private contacts are:
- Not visible to your company
- Not visible to admins
- Not accessible to anyone else
Are Private Contacts Encrypted?#
Yes. All contact data is encrypted:
- At rest — Stored encrypted in our database
- In transit — Protected via HTTPS
- PII fields — Extra encryption for sensitive data
What Happens If I Leave My Company?#
Your private contacts stay with you:
- Still accessible in your personal account
- Can be used with your next company
- Never affected by company membership changes
Can I Export My Private Contacts?#
Yes. Go to My Contacts → Export to download all your contacts as a CSV file.
Best Practices#
Keep Notes Fresh#
After meeting someone or working with them, update your notes while the context is fresh. Future you will thank present you.
Use Consistent Tags#
Create a personal tagging system and stick with it:

Add Context, Not Just Data#
A contact with just a name and email isn't very useful. Add:
- How you know them
- What you've worked on
- Why they're valuable in your network
Share Strategically#
Not every contact needs to be shared with your company. Share contacts that:
- Others in your organization might need
- You're comfortable making visible
- Would benefit from collective organizational context
Frequently Asked Questions#
Can my employer see my private contacts? No. Private contacts are completely invisible to your company, including admins and owners.
What if I accidentally make a contact private that should be shared? You can share any private contact at any time. Just open it and click "Share with Company."
Can I make a shared contact private again? Your original private copy always stays private. If you shared a contact, you can't "unshare" the company copy, but you still have your private version.
Do private contacts count against any limits? Contact limits (if any) are based on your subscription plan. Check your plan details for specific limits.
