The shared contact directory where your entire organization can find and leverage professional relationships across all departments.
Company Directory#
The Company Directory is where your organization's collective professional network lives. It contains contacts that team members have shared, making them searchable and accessible to everyone.
What Is the Company Directory?#
The Company Directory is a shared database of professional contacts:
- Collective — Contains contacts from all departments
- Searchable — Full-text search across all shared contacts
- Attributed — Shows who shared each contact and when
- Persistent — Knowledge stays when people leave
- Permission-based — What you can do depends on your role
Accessing the Directory#
- Log in to your company workspace (e.g.,
acme.nanabase.co) - Click Directory in the sidebar
- Browse or search contacts
Browsing Contacts#
List View#
The default view shows contacts in a list:
- Name and job title
- Company
- Tags
- Who shared this contact
- When it was added
Card View#
Switch to card view for a visual layout:
- Click the view toggle in the top right
- Select Cards
- See contacts as individual cards with key info
Sorting#
Sort contacts by:
- Name (A-Z or Z-A)
- Company (A-Z or Z-A)
- Date Added (newest or oldest first)
- Recently Updated
Filtering#
Filter the directory by:
- Tags — Select one or more tags
- Department — Filter by which department shared the contact
- Added By — See contacts from a specific colleague
- Date Range — Contacts added within a time period
Searching Contacts#
Basic Search#
Type in the search bar to find contacts by:
- Name (first or last)
- Email address
- Company name
- Job title
- Notes content
- Tags
Advanced Search#
Use search operators for precision:
company:stripe → Contacts at Stripe
tag:lawyer → Contacts tagged "lawyer"
added:john → Contacts added by John
title:engineer → Contacts with "engineer" in title
"maria gonzalez" → Exact name match
Search Tips#
- Search is case-insensitive
- Partial matches work (
strfinds "Stripe") - Combine multiple terms (
lawyer nyc) - Use quotes for exact phrases
Contact Details#
Click on any contact to see full details:
Information Tab#
- Full name
- Email address
- Phone number
- Company and job title
- Department
- Notes
- Tags
Context Tab#
- Added by — Who shared this contact
- Added on — When it was shared
- Last updated — Most recent changes
- Source — How it was added (manual, import, etc.)
Activity Tab#
- History of interactions with this contact
- Notes from colleagues
- Related activity
Working with Directory Contacts#
Viewing Contact Details#
Anyone with access to the directory can view contact details, including:
- All contact information
- Notes (that were shared)
- Tags
- Who added the contact
Editing Contacts#
Who can edit:
- Owners and Admins — Can edit any contact
- Members — Can edit contacts they added
- Viewers — Cannot edit
To edit:
- Open the contact
- Click Edit
- Make changes
- Click Save
Adding New Contacts Directly#
Members (and above) can add contacts directly to the directory:
- Click + Add Contact
- Fill in details
- Under Visibility, select Shared with Company
- Click Save

Deleting Contacts#
Who can delete:
- Owners and Admins — Can delete any contact
- Members — Can delete contacts they added
- Viewers — Cannot delete
Deleting a contact from the directory removes it for everyone. This cannot be undone.
Department Context#
The directory shows which department or team shared each contact:

This helps you understand:
- Who has the relationship with this contact
- Which department has worked with them
- Who to ask for more context
Tags in the Directory#
Tags help organize the collective directory:

By service type:
lawyer,accountant,translator,consultant
By specialty:
m&a,employment-law,tax,immigration
By relationship:
vendor,partner,advisor,investor

Viewing Popular Tags#
The directory shows popular tags in the filter panel, making it easy to browse by category.
Suggesting Tags#
When editing a contact, you'll see suggested tags based on:
- Tags used by others in your company
- Tags on similar contacts
- Common industry tags

For Sharing#
- Share contacts that others might need
- Add context in the notes field
- Use consistent tags
- Update info when it changes
For Finding#
- Start with search before asking colleagues
- Check "Added by" to know who has the relationship
- Look at tags for quick categorization
- Read notes for context
For Maintaining#
- Update contacts when info changes
- Add notes after interactions
- Clean up duplicates when found
- Report outdated information
Privacy Considerations#
What's Visible#
When a contact is in the directory:
- Basic info is visible to all members
- Notes are visible (don't share sensitive info)
- The person who shared it is attributed
What's Not Shared#
- Your private copy remains separate
- Private notes stay private
- Your personal tags aren't shared
Frequently Asked Questions#
Can I see who has viewed a contact? Currently, we don't track contact views. We may add this for enterprise plans in the future.
What happens to contacts when someone leaves the company? Contacts they shared remain in the directory. Their attribution stays ("Added by John Smith") even after they leave.
Can I export the company directory? Admins and Owners can export the directory. Go to Settings → Export.
How do I report incorrect information? Edit the contact if you have permission, or contact your admin to make corrections.
Is there a limit to how many contacts can be in the directory? Limits depend on your subscription plan. Check your plan details.
